Executive Assistant needed for a top-ranking Real Estate Team in the FL area. With the help of this individual, the broker is hoping to focus more on selling Real Estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond with team effort. The ideal candidate will possess a background in Real Estate. The candidate should have a proven track record of creating and implementing systems and procedures in an office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team. Compensation: • Salary Range: $45,000 - $55,000• Paid Time Off (PTO)• Bonuses - Considered after a 90-day period Responsibilities:• Assist and support the owner in all business and personal areas needing assistance.• Facilitate seamless communication with clients throughout property transactions, ensuring an outstanding customer experience.• Handle emails and inquiries promptly and professionally, addressing client needs and concerns with care.• Skillfully manage schedules to optimize team productivity and ensure all tasks are completed on time.• Develop, manage, and disseminate marketing materials including newsletters and open house flyers.• Strategize and schedule engaging YouTube Live broadcasts, conducting thorough research on relevant topics to captivate audiences.• Employ proactive problem-solving techniques to address client concerns positively.• Customize MLS searches and coordinate listing entries, including photo shoots.• Oversee administrative paperwork throughout transactions, ensuring accuracy, compliance, and a smooth process for all parties involved.• Conduct daily follow-ups on transaction progress to ensure smooth proceedings.• Regularly communicate transaction updates to clients and ensure necessary documentation is shared with relevant parties promptly, keeping everyone informed and on track.• Collaborate effectively with agents and stakeholders to ensure seamless coordination.• Employ an organized and systematic approach to manage processes efficiently.• Demonstrate flexibility in working hours, including weekends, and commit to daily morning check-in calls for project and task reviews.• This person will LOVE checklists and "to-do" lists and will love paperwork . Qualifications:• At least 2 years of prior real estate experience knowledge, in general, is a Must , no exceptions. Experience in the Florida market is a plus.• Proficiency in CRM systems, Microsoft Excel, and Google Workspace (Docs, Sheets, etc.). This role will manage a robust CRM system- knowledge of Real Estate Webmasters (REW) CRM platform is a huge plus.• Outstanding organization.• Strong attention to detail.• Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly.• Able to multitask and prioritize daily workload - can work on multiple projects at once.• Able to work independently to support a team and appropriately manage time.• Effective interpersonal skills, including superior oral and written communication skills.• Strong problem-solving abilities.• Discretion and confidentiality.• Customer service focus. • College degree and social media experience preferred.• Comfortable handling strong personalities.• Must be thorough and Love to-do lists.• This person must have a CAN and WILL DO attitude. This person will do anything and everything they need to in order to free their broker to sell.
